Mobile Detailing CRM: What It Should Do (and How Detailer Flow Does It)
By Sean Atakhanian, founder of Detailer Flow · Last updated October 26, 2026 · ~7 min read
A mobile detailing CRM is software that holds your customers, bookings, messages and follow-ups in one place and runs the repetitive parts — confirmations, reminders, review requests, win-back texts — on its own. For a mobile detailer, the right CRM is the difference between running the business from your phone and running it from a pile of DMs, texts and a notes app.
Why generic CRMs don’t fit mobile detailers
Most CRMs are built for sales teams with a desk. A mobile detailer works out of a van, quotes by vehicle size and condition, books by location and travel time, and does the admin at night. The CRM has to work from a phone, understand services and add-ons, and talk to customers over text — because that's where detailing customers actually are.
The 7 things a mobile detailing CRM has to do
1. Take bookings online, straight into your calendar
A customer should be able to pick the service, the day and the time without texting you back and forth. The booking lands on your calendar and the customer gets a confirmation by text and email.
2. Send reminders without you remembering to
No-shows and ‘can we move it’ texts the morning of usually come from a customer who forgot. Automatic reminders a few days before and the morning of fix most of that.
3. Put every conversation in one inbox
Instagram DMs, Facebook messages, texts and email in one thread per customer, so a quote you started on Instagram doesn't get lost when they reply by text.
4. Ask for the Google review for you
The best time to ask is right after the job, and that's exactly when you're packing up. The CRM sends the review request automatically, with a direct link to your Google profile.
5. Bring old customers back
A detail customer should come back every one to three months. A reactivation text at week 5 and again at week 10, plus seasonal and holiday offers, keeps the calendar full without ads.
6. Upsell higher-ticket work
Ceramic coating and paint correction customers rarely book those on a first visit. A follow-up campaign that explains the benefits and sends them to your quote page turns maintenance customers into coating customers.
7. Handle payments and deposits
Invoices, deposits to lock in the slot, and card payment by a link sent to the customer's phone — so you're not chasing Venmo at the end of the day.
One system vs. a stack of apps
Plenty of detailers run on a booking link, a payment app, a spreadsheet, a reminders app and their phone's messages. It works until it doesn't: the customer books in one place, pays in another, and nothing talks to each other. Here's the honest comparison.
| Job | Separate apps | Detailer Flow |
|---|---|---|
| Online booking | A standalone booking link with no link to your customer list | Booking page tied to each customer's record and your calendar |
| Reminders & confirmations | You text them yourself, or a reminder app that doesn't know your calendar | Sent automatically from the booking, by text and email |
| Messages | DMs, texts and email in three apps | One inbox, one thread per customer |
| Google reviews | You remember to ask (or don't) | Review request sent automatically after each job |
| Follow-ups & reactivation | Manual, usually skipped | Week 5 / Week 10 reactivation, holiday and ceramic coating campaigns built in |
| Payments | Separate payment app, no record on the customer | Invoices, deposits and card payment inside the CRM |
| Website | Separate builder, separate login | Website and landing pages hosted in the same system (Pro) |
| Setup | You build and connect each tool yourself | Done for you; most detailers live within 48 hours |
